So it may seem a little weird that a photographer would promote a day of coordinator so much. And I get that.
It is kind of weird for me to be talking about this, but the reason I want to promote it is because of how beneficial it can be to your wedding day.
Day of coordinators are not the same as wedding planners. Wedding planners help you leading up to your wedding. Planning all of the details, getting all the vendors together for you, helping you design your wedding.
The day of coordinator is someone who comes in, shows up on the day of your wedding (sometimes for a separate rehearsal day too) and they make sure everything goes smoothly. So when people have questions or need to know where to go, or when you need to know when you should line up for the ceremony, they can help.
That’s what they’re there for. That is their sole purpose: to make sure the whole day runs smoothly. Everything stays on time.You get all the pictures you want. Everything happens the way it should.
And they are so important because if there’s not a day of coordinator there 9/10 times, all those responsibilities I just said fall on me, the photographer.
Now I don’t mind doing these things, and I’ve done them a lot in the past. I never mind stepping into that leadership role, but the more times that I’m pulled aside to answer questions about the day, the less time I have to focus on your must-have shots.
I become one person trying to do two jobs, and THAT’S why I recommend a day of coordinator.
Personally, if I show up to a wedding day and I realize there isn’t a day of coordinator, or I haven’t been previously told that there is going to be one there – I’m always a little more anxious because I know going into it that I’m probably going to have a lot on my plate that day.
Sometimes I have a second shooter with me, or an assistant, and they’re able to kind of take on some of that load too. But, if you hire me and you hire a second shooter, you’re not hoping that that second shooter turns around and becomes a coordinator for you for the day. You paid that extra money so they could get different angles and shots.
The best thing that you can do for your wedding day is to have someone there that knows what’s going on that knows the plan that knows how weddings should flow.
Sometimes the venue owner will help you with this. A lot of times I’ve been to venues where the owners are there on the day of, kind of helping out wherever they can, making sure that everything’s going smoothly and they kind of step into that day of coordinator role. So a good thing to ask when you tour the venue is if they offer that, and if it’s included in your package.
Finally, the best tip that I can leave you with: Make sure that the people who need to know what’s going on, know what’s going on.
I know that sounds silly, but your wedding party, your family, need to know the timeline. They need to know when they need to be around and where. So once you have that timeline, and once we’ve finalized it, or your wedding coordinator has, send that timeline out ahead of time to those people. Then two weeks before the wedding give everyone a little check in and make sure everyone has a timeline so we are all on the same page.
The biggest downfall on wedding days that I see is when nobody knows what’s going on, except the bride(s), or the groom(s), and me. Other than that, no one knows what’s happening. So the wedding party is just chilling and doesn’t know where to go. No one knows when to line up for the ceremony so it starts late. And then it all kind of starts to fall apart from there because someone’s got to round everyone up, then people start to get stressed because we’re behind, etc.
So I hope this helped you today. I hope this encouraged you to at least explore your options and find a way to make sure that your wedding day runs smoothly. Because the last thing we want is for you to be stressed! The last thing we want is for you to be thinking about, “Oh my gosh, are we going to be able to have the ceremony on time?”
Because you should be focused on, “Oh my gosh, this is my wedding day!!“
